Terms & Conditions

These Terms and Conditions ("Terms") govern the use of The Wellness Collective facilities, booking platform, and amenities. By booking, accessing, or using the space, you (“Practitioner,” “User,” or “You”) agree to be bound by these terms.
1. Independent Practitioner Relationship
The Wellness Collective provides shared, short-term use of furnished wellness treatment rooms. Practitioners are independent contractors, not employees, agents, partners, or affiliates of The Wellness Collective. Nothing in these Terms creates an employment, partnership, joint venture, or supervisory relationship.
Practitioners are solely responsible for:

Their professional services
-
Client care and outcomes
-
Licensing, certifications, and scope of practice compliance
-
Insurance, taxes, and business operations
-
All client billing, invoicing, collections, payments, refunds, and financial transactions related to their services
2. Eligibility & Professional Requirements
All practitioners must:

Hold an active, unrestricted professional license or certification (if applicable)

Practice strictly within their legal scope of practice
-
Maintain current professional liability insurance
-
Provide copies of required documentation upon request
The Wellness Collective reserves the right to deny or revoke access at its sole discretion for noncompliance.
3. Bookings & Use of Space

Rooms are booked in advance through the approved booking system
-
Bookings are charged at the published hourly rate
-
Practitioners may only use the room during their scheduled time
-
Early arrival or overstaying beyond the booked time is not permitted
Rooms must be left clean, reset, and ready for the next practitioner.
4. Fees & Payments

All fees are due at the time of booking unless otherwise stated
-
Fees are non-refundable except as outlined in the Cancellation Policy
-
Pricing is subject to change with or without notice
The Wellness Collective does not guarantee availability or income.
5. Cancellations & No-Shows
-
Cancellations must be made within the time frame stated at booking
-
Late cancellations or no-shows may result in forfeiture of fees
-
Repeated cancellations or no-shows may result in suspended booking privileges
6. Amenities & Equipment Use
The Wellness Collective provides amenities including but not limited to:

Massage tables and stools
-
Linens and laundry service
-
Robes, towel warmers, and hot stone equipment
-
Waiting room access
-
Ambiance lighting and Alexa-enabled devices
Practitioners agree to:

Use equipment properly and as intended
-
Report damage or malfunction immediately
-
Return equipment in the condition received
Misuse, damage, or loss may result in repair or replacement charges.
7. Cleanliness & Room Reset Policy
Practitioners are required to:

Strip used linens and place them in designated hampers
-
Sanitize surfaces according to posted guidelines
-
Dispose of trash properly
-
Leave doors open after sessions when instructed
Failure to comply may result in cleaning fees or suspension of booking privileges.
8. Client Responsibility
Practitioners are solely responsible for:

Client intake, consent, documentation, and records
-
HIPAA compliance (if applicable)
-
Handling client complaints, refunds, and disputes
The Wellness Collective is not responsible for practitioner-client interactions.
9. Professional Conduct
Practitioners must maintain professional, ethical, and respectful conduct at all times. The following are strictly prohibited:

Illegal activity
-
Inappropriate or unethical behavior

Misrepresentation of credentials
-
Harassment or discrimination
Violations may result in immediate termination of access without refund.
10. Security & Personal Property

Practitioners are responsible for securing their personal property
-
The Wellness Collective is not liable for loss, theft, or damage to personal items
-
Entry codes and access credentials may not be shared
11. Assumption of Risk & Liability Waiver
Practitioners assume all risks associated with use of the facilities. To the fullest extent permitted by law, Practitioners release and hold harmless The Wellness Collective, its owners, and affiliates from any claims, injuries, losses, or damages arising from use of the space.
12. Indemnification
Practitioners agree to indemnify and defend The Wellness Collective against any claims, damages, liabilities, or expenses arising from:

Practitioner services

Client interactions
-
Violation of these Terms
13. Termination of Access
The Wellness Collective reserves the right to suspend or terminate access at any time for:

Violation of these Terms

Unsafe or unprofessional conduct

Failure to comply with policies
Termination may occur without prior notice.
14. Modifications to Terms
These Terms may be updated at any time. Continued use of the facilities constitutes acceptance of the revised Terms.
15. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the State of Texas.
16. Acknowledgment
By booking or using The Wellness Collective, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
